With many companies adjusting to working from home as a permanent option following the pandemic, teleconferences have become more frequent than ever. While the ease of virtual meetings is a clear benefit, there are a couple of issues to be aware of prior to making the change.

A lower level of engagement: Some attendees may be intimidated by the remote meeting at first, because they’re not used to communicating via online communication. This could lead to less participation in the meeting. This could slow the progress of the board and delay the agenda.

It can be a challenge to discern body language and facial expressions in a virtual conversation and can lead to confusions. Eye contact issues can also cause some directors to feel less at ease and less attentive. This is not ideal for an executive board.

The board portal can be used to help improve these problems. Directors can access documents and minutes from any device at any time.

It is also an excellent idea to ensure the meeting environment is clean and distraction-free. For instance the meeting should not be held during mealtimes and all attendees should turn off their phones when they are not speaking to minimize background noise. The chair should be able to monitor all attendees and encourage attendees to only use their microphones only when they are needed.
